Terms and Conditions of Hire

These terms and conditions form an integral part of your hire contract with Roof Box Hire Scotland Ltd (hereinafter referred to as “the Company”). Our registered office is 13-15 Morningside Drive, Edinburgh EH10 5LZ.


1. Definitions

  • Hirer: The person whose name and address appear on the hire contract. The Hirer must be at least 18 years old and accepts full legal liability for all Equipment listed in the hire contract, regardless of whether it is for their own use or another member of their party under the same booking number.
  • Equipment: Includes Roof Boxes, Roof Bars, Fixtures, Cycle Carriers, and any other item(s) hired from the Company or its agents.
  • Hire Period: Begins when the Equipment is collected or received by the Hirer and ends when the Equipment is returned to the Company. These dates are clearly stated on the hire contract.

2. Conditions of Hire

2.1 Identification

  • The Hirer must provide a valid form of identification (e.g., passport or driving licence) when collecting the Equipment.
  • The Company reserves the right to withhold the Equipment if proper identification is not provided. No refund will be given in such cases.

2.2 Liability

  • The Hirer accepts full personal responsibility for the Equipment from receipt until its return.
  • The Hirer must not remove labels, interfere with, modify, alter, or repair the Equipment.
  • The Hirer must take reasonable care of the Equipment and ensure its safe and correct use, adhering to:
    • The loading limits of the Roof Box, Roof Bars, and Cycle Carrier.
    • The vehicle manufacturer’s roof loading limits.
  • The Equipment must not be removed from the vehicle during the Hire Period.
  • The Hirer is responsible for the Equipment’s security and must take appropriate measures to prevent theft, damage, or exposure to adverse weather conditions.

3. Replacement Costs

3.1 Roof Boxes

  • Medium (360L) – Thule & Exodus: £300
  • Medium (410L) – Thule: £400
  • Large (450L) – Thule: £400
  • XL (510L) – Kamei: £500
  • XXL (610L) – Thule: £900

3.2 Roof Bars & Fixtures

  • Thule – up to £250
  • Atera – up to £200
  • Cruz – up to £100

3.3 Cycle Carriers

  • Thule – £150 per unit
  • Cruz – £50 per unit

3.4 Keys & Lock Repairs

  • Lost key – £25 per key
  • Broken key in box/rack – £100 per key

4. Booking, Payment & Cancellations

4.1 Bookings

4.2 Payment

  • Payment is required upon receipt of the quote via bank transfer or PayPal. A confirmation email will be sent once full payment is received.

4.3 Cancellations & Refunds

  • No refund for cancellations within 14 days of the hire start date.
  • Cancellations between 15-30 days before hire start date incur a 30% fee (minimum charge £20).
  • Cancellations 31 days or more before the hire start date incur a £20 administration fee.

4.4 Equipment Availability & Substitutions

  • If pre-booked Equipment is unavailable due to loss or damage, the Company will provide a similar or higher-quality alternative.
  • If no suitable alternative is available, a full refund will be issued with no further liability.

4.5 Right to Refuse Hire & Contract Termination

  • The Company reserves the right to refuse hire or cancel a contract at any time without notice. In such cases, a full refund will be issued with no further liability.

5. Amendments

5.1 Vehicle Details & Hire Date Amendments

  • Amendments are allowed up to 14 days before hire commencement with a £10 admin fee, subject to availability.

5.2 Changing Vehicle Details

  • A £10 admin fee applies.
  • If new equipment is required, an additional surcharge may apply.

5.3 Changing Hire Dates

  • A £10 admin fee applies, subject to availability.
  • No changes allowed within 14 days of the hire start date unless agreed upon in advance.

6. Security Deposit

  • A £50 security deposit is required at the time of booking and will be refunded upon the satisfactory return of the Equipment.

7. Collecting Equipment

7.1 Receipt & Inspection

  • The Hirer or their agent must sign a receipt confirming the Equipment is in satisfactory condition.

7.2 Collection Timing

  • The Hirer must arrive at the agreed time and location, with a 15-minute grace period allowed.
  • Late arrivals must notify the Company at least 10 minutes before the agreed collection time.

7.3 Incorrect Vehicle Details

  • If incorrect vehicle details are provided, the Company reserves the right to reschedule or cancel the hire with no refund.

8. Fitting Equipment

  • The Hirer is responsible for ensuring the Equipment is correctly fitted.
  • If Company staff assist with fitting, it is done at the Hirer’s risk.
  • The Hirer accepts full responsibility for any damage caused by detached Equipment.

9. Returning Equipment

9.1 Return Timing

  • Equipment must be returned at the agreed time and location, with a 15-minute grace period allowed.

9.2 Late Returns

  • If Equipment is not returned, additional hire charges may apply.
  • If not returned within 48 hours without prior arrangement, the full replacement cost will be charged, including any legal fees.

9.3 Theft

  • Theft must be reported to the Police, and a crime reference number obtained. The Company must be notified within 48 hours.

10. The Company’s Responsibilities

10.1 Equipment Maintenance

  • The Company will maintain agreed hire rates for the Hire Period and inspect/clean Equipment before and after each hire.

10.2 Limitation of Liability

  • Except where prohibited by law, the Company will not be liable for any loss, damage, or injury caused directly or indirectly by the Equipment or its use.

Your statutory rights are not affected.
